Aptify provides an ability to fulfill subscriptions so an organization can track how many issues are remaining in a particular subscription. For example, if an organization has a monthly newsletter, a user can run a subscription fulfillment every month when a new issue of the newsletter is released. This process automatically generates a distribution list for the new issue and updates the individual Subscriptions to track that the issue has been sent to the subscriber. Once a subscription has been fulfilled (for example, once 12 issues have been sent for a one-year subscription), Aptify automatically marks the Subscription as Expired if it has not been renewed.

While membership dues products do not have issues to send out, an organization can also use the Subscription Fulfillment process for memberships in addition to any publication subscriptions. This approach allows an organization to track a membership's current status and identify how many periods remain before the membership expires.

Follow these steps to fulfill a particular issue of a subscription, broken down by interface:

  1. From the Subscription Fulfillments service, open a new Subscription Fulfillments record.
  2. In the Product field, select the name of the subscription product to fulfill.
  3. Enter a name for the subscription fulfillment. Generally, the name of the fulfillment should reflect the fulfillment period and/or product.
  4. In the Distribution Date field, enter the date the subscription issue is sent to the subscribers.
  5. In the Date Prepared field, enter the date the subscription fulfillment is being prepared and run.
  6. Enter the Volume of the subscription being fulfilled.
  7. Enter the Issue Number of the subscription being fulfilled.
  8. On the Recipient tab, select the fulfillment criteria option to generate the subscriber list.
    • Use Subscription End Dates: This option adds individuals to the recipient list as long as the fulfillment date is before the end date of their subscription, regardless of the particular issues they have already received.
    • Use Volume and Issue Number: This option adds individuals to the recipient list if the number of issues they have received is less than the number of issues in the subscription product. Additionally, this option will not resend a subscription issue to the recipient for the same volume and issue number indicated on the Subscription Fulfillments record. The benefit of the Use Volume and Issue Number option is that multiple fulfillments for a particular publication volume/issue can be processed.

      If you configured the subscription product to allow a Grace Period, select the Use Volume and Issue Number option when creating Subscription Fulfillments. The Grace Period functionality is not supported by the Use Subscription End Dates option. See  for information on specifying a Grace Period.



  9. Select the Create List button to generate the subscription list.
    • The Subscription Fulfillment record is saved.

  10. Click OK on the message box to add the specified number subscribers to the Recipients tab.
    • In addition to generating the subscription list, the Create List button generates a Delivery Log record for each subscriber and reduces the number of issues remaining in the corresponding subscription. The Delivery Log record can be accessed from the Delivery Log tab of the subscriber's Subscriptions record. See .

       

     

  11. Click the Output tab to generate the list of recipients to whom the issue should be sent.
