Aptify includes several pre-defined role-based profiles that can simplify a particular type of user's interaction with the system. Aptify has designed one of these profiles based on the typical requirements of an organization's Executive User. This profile provides easy access to the information and functions within Aptify commonly accessed by an individual who is responsible for executive decisions within an organization.
Note: A role-based profile is intended as a starting point for a particular type of Aptify user. As applicable, an administrator can leverage the profiles provided by Aptify to create new profiles specific to an organization. Also, once an end user's Aptify profile has been created, he or she can modify the profile as needed to personalize the Aptify user experience.

This section describes the design and layout of the Executive User profile included with Aptify. It covers the following topics:

Executive User's Main Dashboard

The main dashboard for the Executive User profile includes the following elements:

  • Exec Main Button Bar: The top of the Executive User's main dashboard contains a button bar with the following buttons:
  • World Sales: Runs the World Sales report for Orders recorded in the system.
  • Current Sales: Runs the Sales Summary report for Order placed in the last 90 days.
  • Current Membership: Runs the Companies/Persons Roster report for Companies with current memberships.
  • Current Committees: Runs the Committees Roster report for current committees.
  • Most Recently Used Records: This instance of the Most Recently Used control provides quick access to recently viewed records and views by the current user. See the Most Recently Used Dashboard section in the "Desktop" chapter of the Aptify User Guide for details.
  • Corporate Members By Country: This chart view displays Companies with Corporate Memberships by country. Clicking on a section of the chart opens a chart view for the corresponding country. You can continue to drill down by state/providence (by clicking the corresponding state/providence on the country chart view) and then by city (by clicking the corresponding city on the state/providence chart view).
  • Revenue - Last 4 Months: This pivot table displays the revenue generated over the last 4 months.
  • My Tasks for Today: This is a list view of all Tasks due today that are assigned to the current user and are not yet completed. Note that this view is collapsed by default but a user can expand and collapse dashboard parts as needed using the caption button (click the plus sign to expand and the minus sign to collapse).
  • Average Completion Variance per Employee Over One Year: This is a list view of the average variance (difference between total estimated hours and actual hours) for completed Tasks assigned to a particular employee over the last year. The view displays the Average Variance and Total Estimated Hours for completed Tasks by each employee.

Executive User Shortcuts

The Executive User profile includes a set of shortcuts that provide instant access to information in Aptify that is of interest to members of an organization's executive staff. The shortcuts appear in the General Group:

  • Find Company By Name: A prompt view to locate a company based on its name.
  • Find Person By Name: A prompt view to locate a person based on his or her last name.
  • Find Person By Company: A prompt view to locate a persons affiliated with a particular company. This view includes a hierarchy that displays any additional companies relationships associated with a particular person.
  • Find Organization By Name: A prompt view to locate an organization based on its name.

Executive User's -Shortcuts

Executive User Subscribed Applications

The Executive User profile is subscribed to two applications by default: Accounting and Customers. Each application has its own dashboard that provides access to information that is important to an organization's executive users.

Executive User's Accounting Application

The Executive user subscribes to the Orders, Payments, Organization, and Batches services by default in the Accounting application. Note that a user can add or remove services as necessary using the Application Services dialog. (See the Applications and Services "Applications and Services" chapter in the Aptify User Guide for details.)
Note: A user must have access to the Accounting group in order to subscribe to the Accounting application and access the Executive User's Accounting dashboard. If you do not have access, contact your administrator for assistance.

 


The dashboard for the Accounting application includes the following elements from top to bottom:

  • Revenue By Source: This pivot table displays the revenue generated from Orders grouped by Order Source.
  • Sales Target: This is a list view of the current sales targets as of today's date. Note that this view is collapsed by default but a user can expand and collapse dashboard parts as needed using the caption button (click the plus sign to expand and the minus sign to collapse).
  • Cash Control Batches Over 90 Days: This is a list view that displays information about the Cash Control Batches deposited in the last 90 days. This view includes a hierarchy that displays related Cash Detail information for a particular batch control. Note that this view is collapsed by default but a user can expand and collapse dashboard parts as needed using the caption button (click the plus sign to expand and the minus sign to collapse).
  • Annual Revenue (Last 3 Years): This is a chart view that displays the revenue generated in the last three years. Clicking on a section in the chart opens another chart view that displays revenue by quarter for a particular year.

Executive User's Customers Application

The Executive user subscribes to the Persons, Companies, Contact Logs, and Tasks services by default in the Customers application. Note that a user can add or remove services as necessary using the Application Services dialog. (See the Applications and Services "Applications and Services" chapter in the Aptify User Guide for details.)
The dashboard for the Customers application includes the following elements from top to bottom:

  • New Memberships Started: This is a chart view that displays the number of memberships based on the Companies' or Persons' Start Date and grouped by Member Type.
  • Active Committee Terms: This is a list view that displays information about current committee terms. This view includes hierarchies to display information about the committee term members and meetings associated with a particular term.
  • Upcoming Meetings: This list view displays information about current and future meetings. The view includes hierarchies to display information about the meeting's sessions and speakers. Note that this view is collapsed by default but a user can expand and collapse dashboard parts as needed using the caption button (click the plus sign to expand and the minus sign to collapse).
