About Order Entry in the Web Interface

This topic describes the Order Entry functions that are supported and unsupported in the Aptify web interface.

Web-Only Functions

Aptify 5.5.5 adds the following Order Entry functions that are only available to users of the Aptify web interface:

  • Ability to add customers to Bulk Orders records
  • Ability to edit or delete existing customers in Bulk Orders records
  • Adjusts the vertical and horizontal scrollbars that can appear on the Customers tab of a Bulk Orders record
  • Ability to add a product to an existing Bulk Orders record and have that new product apply to all existing Bulk Order Customers
  • Editing and deleting products from a Bulk Orders record

Supported Functions

The Aptify web interface supports the following Order Entry services and functions, broken down by release:

Aptify 5.5.5

  • Create, open, and edit Orders records
  • Create, open, and edit Payments records

  • Create, open, and edit Saved Payment Methods records
  • Support for Saved Payment Methods on Orders, Payments, and in the New Order wizard (including the Save for future use option)

  • Batch wizards for Orders and Payments
    • Orders and Payments that are part of a batch are marked as such and any accounting related fields cannot be modified, just like in the Desktop client. Added a GL Entry Details tab for the web interface, which provides the ability to view transaction data for each account in the batch. See Creating General Ledger Batches in the Web Interface for more details.
       
  • Shipping and Handling: Supports basic shipping and handling functions. There is limited support for more complex shipping and handling functions:

    • Shipping/Handling Dialog: Users can view or modify the shipping and handling details.
    • Shipment Type Plug-ins: A developer can specify a plug in, to implement organization-specific logic to determine an order's shipping charges. However, Shipment Type Plug-ins are not supported.
    • Shipping Confirmation: The Shipping Confirmation dialog feature is not supported.
    • Ship Partial and Back-order: Starting with Aptify 5.5.4, partially shipping order (i.e. creating back-orders) is supported. See Back-ordering Partial Shipments for more details.
    • Shipping/Handling Dialog: Users cannot view or modify the shipping and handling details.
       

  • Sales Tax: Support for sales tax functions in the web interface is limited, as described below:
    • Tax Detail Windows: Users can view the Tax Details dialog.
    • Tax-Included Products: Does not support product prices that include tax.
    • Sales Tax Calculations: When making changes to an order that impact the sales tax characteristics, the sales tax is not recalculated until the order is saved.
  • Multi-Currency Support: Available for applications and services that are supported on the web interface. For example, orders and payments can be taken in different currency types.

    Note

    When orders and payments are saved against the appropriate spot rate in the web interface. However, the Mark to Market wizard is not supported, and must be run from the Aptify Desktop client.

  • Campaigns and Meeting Sessions: When ordering Campaigns for Orders that include sessions, Campaigns cannot be applied as they are normally in the Aptify Desktop client. Users will need to open each session from the order line and add the Campaign separately.
  • Minimum and Maximum Selling Units: This functionality has limited support. If the correct amount of units is not on the order (either minimum or maximum units, a message is not displayed (and it is always defaulted to 1 unit). However, when attempting to save the order, the save will be unsuccessful until the unit count is corrected.
  • Product Prerequisites: Is supported as of 5.5.3.
  • Meeting Sessions Dialog: Is supported. If a meeting has sessions, a dialog displays and you can add the meeting and select any session. However, you cannot modify the registrants. See the Known Issues section for an issue related to adding multiple registrants to the same order.
  • Membership Pricing: Membership pricing is not refreshed for order lines that are already added to the order prior to adding a membership product. Therefore, Aptify recommends adding the membership product prior to any other order lines so that the price is reflected correctly.
  • Tax Calculations: Addition of Shipping and Handling charges when the Charges Include Tax option is selected on a Shipment Type's Matrix record is supported.
  • Customer Type: Changes in Customer Type do not immediately display in certain scenarios. For example, when modifying a Persons or Companies record after adding the ship to/bill to information to an order. Note that removing and re-adding the Ship To/Bill To party will update the information.
  • Scheduled Transactions: Limited support for Scheduled Transactions and similar Accounting tasks. For example, you cannot expand Scheduled Transactions records, this must be done through the Aptify Desktop client or automated using a scheduled task.

  • Ordering Expo Products: Calculation of surcharge amounts when a booth with a surcharge is specified on a new order is supported. Modification of surcharge amounts in an existing order line must be done through the Aptify Desktop client.

  • Searching for Orders from the Payments Form: Is supported.

    • In the scenario where an order is created and the initial payment is $0.00, no warning message is displayed. In the Aptify Desktop client the following message would normally display: “Initial Payment Amount is $0.00. This is only valid for Payment Types of the Purchase Order Type.”

Aptify 5.5.5

  • ePayment Capture wizard: Aptify recommends you use automate this process using the ePayment Capture Process Flow.
  • Manual Order Cancellation: The manual cancellation of orders is not supported.
  • Default Address Settings: Currently in the Aptify Desktop client, if a default address is specified through the Address Default Settings dialog, it takes precedence over the Preferred Address settings when invoking the address flow down feature on Orders form. This feature is not supported.
  • Shipping/Handling Charges: When the shipping and handling charges on an order are manually overridden, and state of the charges changes (setting different shipping and handling charges), the updated charges are applied in the Aptify Desktop client, but not in the web interface.

    • In the scenario where an order is created and the initial payment is $0.00, no warning message is displayed. In the Aptify Desktop client the following message would normally display: “Initial Payment Amount is $0.00. This is only valid for Payment Types of the Purchase Order Type.”
       
  • Manual Order Cancellation: The manual cancellation of orders is not supported.
  • Default Address Settings: Currently in the Aptify Desktop client, if a default address is specified through the Address Default Settings dialog, it takes precedence over the Preferred Address settings when invoking the address flow down feature on Orders form. This feature is not supported.
  • Saved Payment Methods: Creation of Saved Payment Method records is not supported.
  • Tax Calculations: Addition of Shipping and Handling charges when the Charges Include Tax option is selected on a Shipment Type's Matrix record is not supported.
  • Auto-ship Fulfillment: The message prompting a user to automatically ship an order is not displayed in the web interface. See Automatically Shipping Orders .
  • Shipping/Handling Charges: When the shipping and handling charges on an order are manually overridden, and state of the charges changes (setting different shipping and handling charges), the updated charges are applied in the Aptify Desktop client, but not in the web interface.

  • Ordering Expo Products: Creation of surcharge amounts for booth on a new order is not supported. Modification of the surcharge for an existing order line’s booth is not supported. If working with Booth products and surcharges on new and saved orders, use the Aptify Desktop client.
  • Searching for Orders from the Payments Form: The buttons that are used to search for an Order are not supported.
