About Refunding of Shipping Charges

This topic includes important information concerning how the system calculates the refund for shipping/handling charges and how a user can easily override these settings if needed.

  • Aptify calculates the appropriate shipping/handling refund based on the Matrix records linked to the Shipment Type of the original order. In other words, if a cancellation order cancels an order in full, a shipping/handling refund will match the shipping/handling charge on the original order. However, if working with a partial cancellation, the system will calculate the appropriate shipping/handling refund based on the Shipment Type's applicable rate for the sub-set of products on the cancellation order (which may be different from the rate applied to the original order). A user can override the calculated shipping/handling refund as needed directly on the cancellation order before shipping it.
  • If a user overrode the calculated shipping and handling charges on the original order, Aptify will not use this as the basis for the refund amount on a cancellation order. Instead, Aptify calculates the refund amount based on the Matrix records linked to the Shipment Type of the original order. In all likelihood, the calculated refund amount will not be appropriate since it will not correspond directly to the shipping/handling charges on the original order. In this situation, a user should update the shipping/handling refund amounts manually on the order cancellation before marking it as Shipped.
