In addition to the standard, permanent user keys, Aptify also includes a set of Temporary -Client Access keys that can be assigned to users on a temporary basis until additional full licenses are purchased or an existing license becomes available. When an administrator creates new users and selects the appropriate licenses, Aptify automatically assigns each user an available license key of the specified types (assuming that there are unassigned keys).

If there are no permanent keys available of a specific type, an administrator can assign the user a temporary license (assuming that there is a temporary license available). This temporary license is valid for a limited period of time and the system notifies the user that he or she is using a temporary key each time the user logs in to Aptify.
Also, if a temporary license will expire within the next 14 days at the time of login, Aptify displays an additional message that notifies the user of the upcoming license expiration date. If a user is not assigned a permanent key prior to the expiration date, that user will lose access to the applicable system functionality (that is, if the temporary license is a Client Access license, the user will no longer be able to login; if the temporary license is a Module license, the user will no longer have access to that particular module).

When a permanent key becomes available (either by importing additional permanent keys or by deactivating a user who had a license to a permanent key), a user can be reassigned a permanent key by rerunning the User Administration wizard for that user.

Importing License Keys
Aptify provides the License Import wizard to upload a set of license keys into your Aptify installation.

Note: The License Import wizard communicates with Aptify over a Web service to validate license information. If you do not have an Internet connection, you can still import your licenses as temporary licenses that will be valid for 5 days. However, you will need to be able to communicate with the Aptify Licensing Web Service to authorize your license keys before the expiration date of the temporary licenses. See "Validating Existing Licenses" on page 61 for details.

Follow these steps to import license keys:

  1. Locate the license key import files provided by Aptify.
  2. Identify the import file that matches the Server Type you want to install. See "Server Types" on page 46 for more information.
  3. Copy the appropriate license key import file to a location on your computer.
  4. Launch Aptify using an administrator account.
  • By default, the sa user is the only user account that can connect to Aptify without a license. However, once you have imported one set of licenses into the system, subsequent license imports can be performed by other administrator accounts.
  1. Create or open a view of the Licenses service.
  • This service is located in the Framework and Users Administration applications by default.
  1. Click the Aptify License Import Wizard icon in the toolbar to launch the wizard. License Import Wizard
  2. Select the appropriate licensing action to perform. Note that the options available are are dependant upon your environment. The options are as followings:
  • Import Licenses: Select this option to import new or additional license keys to the server.
  • Update Licenses to Match this Server: Select this option if you are moving licensing between servers and you have restored an Aptify backup from another server that already has license assignments. Those users will be unable to log in to the second server until you have matched the existing licenses. See "Moving Licenses Between Servers" on page 57 for more details.
  • Change Licenses to different Server Type: Select this option if you want to change the existing server environment by replacing the existing license keys with license keys of another Server Type. See "Changing Server Types" on page 57 for details about this option.
  • Remove Existing Licenses from Server: Select this option if you want to remove an existing license files from the server. See "Removing Existing Licenses" on page 64 for details
  • Authorize Previously Imported Licenses: Select this option to validate previously imported licenses. This option is only available when licenses were previously imported when an Internet connection was not available. See "Validating Existing Licenses" on page 61 for details.
  1. Click Next to begin the wizard.
  2. If you have selected an import option, specify the location of the import file in the File field. Use the ellipsis (...) button to browse for the file, if desired. Import File
  3. Click Next to continue.
  4. Review the summary of the file's license information. This screen reports the Server Type of the file and information on the number of licenses that it includes. License Import Summary
  5. Click Next to begin the import and activation process.
  • If you have previously imported a license file to this server and you attempt to import licenses of a different server type, the import will fail. However, you can change the type of server as needed by selecting the Next button to replace the existing licenses with the selected file. Choose Back if you want to select a different license file of the same server type or Cancel to close the manager without importing licenses. Import Failed Due to Server Type
  1. When prompted that the license import and activation process has been completed successfully, click Finish to close the wizard.Note: If the license import is not successful, contact Aptify Customer Support.

  • The wizard imports all the licensing keys from the file. For example, if the file you import contains five EndUser license keys, the system will create five separate Licenses records, one for each key.
  • The wizard automatically populates the details of the Licenses record, including the date the license expires. See the "Administration Forms" chapter of the Aptify Administration Guide for information on the Licensing form. Licenses Record
