About the Housing Reservation Guests Form

This form tracks details about a guest's housing reservation request. Users should not create these records directly; Aptify automatically creates them when a user places an order for a Housing product. See Creating Housing Reservations for details.

Attachments Tab

This tab stores any files relevant to the record.

Comments Tab

This tab stores any internal comments related to this guest reservation.

Details Tab

This tab displays the list of Housing Reservation Details records linked to this guest; in other words, it displays the set of rooms reserved for this guest. See About the Housing Reservation Details Form.

General Tab

Housing Reservation (Required)

The ID of the associated Housing Reservation record. This field links to the Housing Reservations service.

Status

The status of the reservation guest. The available options are as follows:

  • New: Indicates a new reservation. This is the default status for new reservations.
  • Modified: Indicates that the reservation has been changed since it was transferred to a hotel. If you modify a reservation whose Transfer Status is set to Completed (in other words, you have already exported the reservation details to the participating hotel), Aptify automatically updates the Status field from New to Modified and resets the Transfer Status field to Pending (since the updated reservation details need to transferred to the hotel as well).
  • Cancelled: Indicates that the reservation has been cancelledA user selects this option manually for tracking purposes; selecting Cancelled does not change the available housing inventory.Rooms associated with a canceled. reservation are returned to the Available category in the Housing Inventory Management dashboard.
  • Completed: Indicates that the guest completed his or her stay at the hotel using the selected reservation. A user selects this option manually for tracking purposes; selecting Completed does not change the available housing inventory.
  • No Show: Indicates that the guest did not complete his or her stay at the hotel using the selected reservation. A user selects this option manually for tracking purposes; selecting No Show does not change the available housing inventory.
  • Wait List: Indicates that the guest is on a Wait List. Rooms associated with a Wait Listed guest are not deducted from the Available room inventory in the Housing Inventory Management dashboard.

Transfer Status

Reports whether or not the record has been exported to a file (to send to a hotel). Available options are Pending (record has not been exported since it was last updated), Completed (record has been exported), and Error.

Person

The name and company of the guest. This field links to the Persons service.

Guest First Name (Required)

The first name of the guest.

Guest Last Name (Required)

The last name of the guest.

Smoking

Select this option to indicate that the guest would like a smoking room.

Handicapped

Select this option to indicate that the guest would like a handicapped room.

Bed Type

The type of bed(s) in the room. Available options are No Preference, King, Queen, and Double.

# Occupants

The number of occupants that will be staying in the room.

# Beds

The number of beds requested in the room.

# Rollaway Beds

The number of rollaway beds requested in the room.

Send Confirmation To

This field specifies to whom the reservation confirmation should be sent. Available options are Guest, Reserver, and Both.

Hotel Confirmation #

This field contains the confirmation number for the reservation provided by the hotel.

Special Requests Tab

This tab stores any special request that the guest has made, which can be transferred to the hotel (if specified within an organization-specific transfer type).
