Running the Export Report

The Export report allows more output flexibility than the List or Detail reports. The data can be saved in plain text format and sent to an electronic file with a name and destination selected by the user. The user can also specify the delimiter character used in the output file to separate the records. An output file can then be accessed by other applications such as Microsoft Word or Microsoft Excel. Note that in order to use the Export Report Wizard a user must have write permissions to the export location or an error message will display.

Exporting Data as a Text File

  1. Open a view and launch the Report wizard.
  2. Select the Export report and click Next.
    Export Report Configuration Dialog

  3. Select the fields to include in the output file.
    • Move the fields from the Available column to the Selected column using the arrow keys.
      • Click the single right arrow button (>) to move the field to the Selected window. Select multiple fields by holding either Shift or Ctrl and click the desired fields. To select all fields, click the double right arrow button (>>).

Selecting all fields could result in a large file.

      • To unselect fields, select the field from the list of those selected, and click the left arrow button (<). This moves the field back to the list of those available. To deselect all fields, click the double left arrow button (<<).
      • To change the field order, first move the fields back to the Available column and then move them to the Selected column in the appropriate sequence.
      • You can also double-click a field to move it between the columns.

  4. Select the appropriate Export Type. The options on this screen change depending on the Export Type selected.
    • Delimited: For a delimited file, select the delimiter character that will separate fields in the output file and select the text qualifier. The text qualifier is the character that comes before and after the field.
    • Fixed-Width Columns: Choose Automatic Column Sizing or Fixed Column Sizing.
      • Automatic Column Sizing sizes the report columns to the size of each field as defined in the database.
      • Fixed Column Sizing sizes the report columns to user-defined widths. Enter the column width in the field provided.Info: If the width is not defined for the Fixed Column Sizing report, the report appears blank.

  5. Select the Next button to open the filename/destination page.
  6. Enter an appropriate name and path for the export file in one of two ways:
    • Type in the file and path name.
    • Click the ellipsis (...) button to open the Windows Save As dialog box and select the file name and path. When finished. select Save to close the dialog.
    • The export file's path defaults to c:\export.txt. Depending on your access rights on the computer (as established by your system administrator), you may not be able to create new files in this location. In this case, create the export file in your My Documents folder, or another location you obtain from your administrator.

  7. Clear the Export Column Names as First Row option if you do not want to include the column names as the first row in the output file.

    Export File Dialog
