About the Message Templates Form

Message Templates define the templates for standard messages sent using the messaging system with Aptify. The templates define messaging source, system, and scope as well as other characteristics for messages such as content and style.

Actions Tab

The Actions tab list all of the actions that are associated with this Message Template.

Attachments Tab

The Attachments tab lists any files relevant to the Message Templates record.

Delivery Tab

This tab stores the delivery preferences for the template. These settings flow down to the Options > Delivery tab when a template is loaded in the Aptify Messaging dialog.

CC Type

CC Type indicates how the message is carbon copied, if applicable. Standard options are:

  • None: Selected by default. No CC is added to each message.
  • Static: A static CC person is added to all messages.
  • Field: A specified field from the message source is used for the CC on each message.

BCC Type

BCC Type indicates how the message is blind carbon copied, if applicable. Standard options are:

  • None: Selected by default. No BCC is added to each message.
  • Static: A static BCC person is added to all messages.
  • Field: A specified field from the message source is used for the BCC on each message.

CC Value

The CC Value field contains either the message source field name or the static CC value, depending on the option selected in the CC Type field.

BCC Value

The BCC Value field contains either the message source field name or the static BCC value, depending on the option selected in the BCC Type field.

From Name

The name of the From person for Dot Net Mail (SMTP) messages is listed in the From Name field.

From Email

The email address of the From person or organization for Dot Net Mail (SMTP) messages s listed in the From Email field.

Reply To

Reply To specifies the reply-to email address that appears when users respond to a sent message that used this template.

General Tab

Name (Required)

The name of the message template is located in the Name field.

Description

This field contains a description of the message template.

Category (Required)

Each message template belongs to a category. This field links to the Message Template Categories service.

Subject

The text in the Subject field is inserted into the subject line of messages created using this template.

Default Message System (Required)

When this template is used, the default message system is chosen automatically, although the user can override it. This field links to the Message Systems service.

Default Message Source (Required)

The default message source for the template indicates the primary source of data for messages based on the template. Templates may be used with more than one message source; however the user may receive warning messages if this is attempted. This field links to the Message Sources service.

Scope

The scope of the message template indicates who can use it. Standard options are:

  • Global: This scope indicates that the category is available to all users.
  • User: This category only displays to the user who created it.

Allow Everyone (Required)

When selected, this template appears in the Messaging dialog's Load Template window for all users. When cleared, only the groups and users specified on the Group Permissions and User Permissions tabs can access this template. This field is only applicable when Scope is set to Global.

Availability

This field specifies if the messaging item is available globally or for a specific set of Message Sources (defined on the Message Source tab). The options are Global or MessageSource.

Group Permissions Tab

The Group Permissions tab list all of the groups whose members can access this template when the Allow Everyone option is cleared and Scope is set to Global. See About the Message Permissions Form for more information.

HTML Tab

The text on this tab is inserted into the HTML area of messages created using this template.

Message Source Tab

When Availability is set to MessageSource, the Message Source tab stores the set of Message Sources for which this Message Template is applicable.

Plain Text Tab

The text on this tab is inserted into the Plain Text area of messages created using this template.

User Permissions Tab

The User Permissions tab list all of the users who can access this template when the Allow Everyone option is selected and Scope is set to Global. About the Message Permissions Form for more information.
