Editing a List View
You can edit a list view's configuration options from the View Properties dialog. See Editing a View for more information on these options. In addition, you can make the following changes to a lists view's appearance and layout from directly within a view:
Moving Columns within a View
To customize a view, it may be necessary to move columns after the view displays. Columns can be rearranged within views using the drag-and-drop method. All column position changes are saved when the user exits the view.
- Open a view.
- Click the column header of the column to be moved. This highlights the column.
Position the cursor over the header of the column to be moved and drag the column to the new position. The outline of the column is shown as it is moved. The column is saved in its new location.
This is a permanent change to the view's configuration. When you change column positions within the view, the View Properties's Fields information is updated automatically.
Note Concerning the Default Width of Linked Fields
If you select a field that is linked to another entity (for example, through a virtual field), the default width of the field is determined by the width defined for the field in view's entity, not the entity where the linked field resides. An administrator can modify the default width of these types of fields as needed. See Defining Base Fields for information about configuring the default width for a field. (Note that if changes are made to the default width of a field at the entity level, only new view created after the modification will reflect the new width. List views created prior to the change will have to be updated manually.)
Resizing Columns
- Open a view.
- In the column header, place the cursor on the column divider to the right of the column until the cursor appears as a vertical dividing line.
- Expand the column using one of two ways:
- Double-click the column divider so that it expands to fit the widest entry currently on the screen.
- Drag the column divider until it is the size you want.
Note that the modified width applies only to the selected column.
The columns revert to their default widths if you open the Fields tab in the View Properties dialog to move columns or modify which fields appear in the view.
Resizing Rows
Resizing rows is especially useful in views with records containing long data strings. Expanding the row height displays more of the cell's data depending on how far the row height is expanded.
- Open a view.
- Place the cursor over the lower border of the row in the row header at the far left until the cursor appears as a horizontal dividing line.
- Drag the row's dividing line to the desired size. Note that the modified height applies to all of the rows in the view.
Sorting within a View
You can quickly re-sort the records on a page quickly by selecting a column. Clicking once sorts the records in ascending (alphabetical) order based on the selected column (an up arrow appears to the right of the column name). Clicking the column heading a second time sorts the records in descending (reverse alphabetical) order.
Note that the sort order you specify within a view overwrites any sorting that you have configured in the View Properties dialog. Also, you may not be able to use certain fields to sort the view, depending on how your system administrator has configured the service (if necessary, contact your administrator for assistance). If a field does not support sorting, no changes are made to the view or to records' sort order when you click that field's column heading.
When sorting records directly within a view whose results have been limited by an administrator (using Recordset Query Limitation), the system applies the specified sorting only to the records that are currently displayed. The system will recreate the view and show different records based on the new sort order the next time you refresh or reload the view. See About the Administrative Security Features with List Views for more information on Recordset Query Limitation.
