Finding Values in a List View

A user can search for a particular value within a list view using one of the following methods:

 

When scrolling through records in a list view (regular or within a dashboard) using the Aptify web interface on an iPad, hold one finger and then drag another finger (with same hand or other) to move within the grid.

Search by Typing

Follow this procedure to search for a particular value in a list view:

  1. Select the column that you want to search.
    • You can either select a column's heading or a cell within that column.

  2. Type your search value.
    • The system automatically locates the records that match the characters you type within the column you specified for the records displayed on the current view page (this search does not occur across all pages of a view). The search is not case-sensitive.
    • For example, to find a Persons record for a person whose last name is Lowe in, select a field in the Name/Company column within the view and start typing l-o-w-e until the system highlights the appropriate record.
      • When you type l, the system will highlight the first record it finds that begins with l. When you type o, it will highlight the first record it finds that begins with lo, and so on until you have located the desired record.

    • Note that if you pause between characters, the search process will reset. For example, if you enter l and then pause when you type o, the system will take you to records that begin with o, not lo.

Search Using Find in Column Dialog

You can also search for a particular value within a list view using the Find in Column dialog, following these steps:

  1. Right-click within the column that you want to search and select Find in [column name] from the pop-up menu to open the Find in Column dialog.
    • You can also hover over a column heading to open the Find in Column dialog for that particular column (without having to right-click within the column).

    • Alternatively, you can type CTRL+F to open the Find in Column dialog.

  2. Enter the search term in the Find in Column dialog.
    • You can enter any part of a word or phrase.
    • In the following example, the Find tool will search the Persons view's Name/Company column looking for records that contain the word Carlos in the Name/Company field. Note that this search only applies to the records displayed in the current page of the view.

  3. Click OK.
    • The Find tool highlights the first record that matches the specified search term, as shown in the example below.

  4. To find the next record that matches the search term you entered in the Find in Column dialog, do one of the following:
  5. Right-click within the column and select Find Again in [column name] from the pop-up menu.
  6. Press the F3 key.

Each time you select Find Again or press F3, the Find tool highlights the next record that matches the search term. When the Find tool reaches the end of the view, it displays the following message:


Select Yes to continue the search from the first record in the view. Select No to stop the search process.

Note that if the Find tool has searched all the records in the view and has not found a match for your search term, it returns a message that states, No records found that match the criteria.
